Privacy Policy
Effective August 12, 2026
Overview
This Privacy Policy explains how SpeakBusiness handles personal information when you visit the website, create or use a business account, use voice-assisted features, receive customer documents, or interact with related services. SpeakBusiness is designed for businesses, and account owners and authorized team members may also add information about their customers and coworkers.
1. Information we collect
Account and company information. We collect information such as name, email address, company name, industry, business location, role, permissions and authentication information.
Business data. We process the information users put into SpeakBusiness, including customer contact details, job data, schedules, updates, photos, checklists, estimates, invoices, payments, expenses, inventory, time entries and other company information.
Voice and assisted-feature inputs. When you use voice, scanning, drafting or other assisted features, SpeakBusiness processes the audio, transcript, image or business details needed to complete the request. Some assisted features use third-party model providers, as described below.
Technical information. The service necessarily processes ordinary request and device information such as IP address, browser information, session identifiers, timestamps and diagnostic logs used to secure and operate the service.
2. How we use information
We use information to provide and authenticate the service; organize and display company information; complete user-requested actions; support voice and assisted work; send or display customer documents; process subscriptions, credit balances and connected customer payments; provide support; protect against fraud, abuse and security threats; diagnose errors; and comply with applicable law.
3. Service providers and disclosures
SpeakBusiness may disclose information to vendors that perform services on our behalf. These can include hosting and infrastructure providers, OpenAI for assisted and transcription features, Stripe for subscription billing and payment processing, mail providers for transactional email, and Open-Meteo for the dashboard weather experience. We may also disclose information when required by law, to protect rights or safety, or as part of a corporate transaction subject to appropriate safeguards.
SpeakBusiness does not sell personal information for money. If our advertising or data-sharing practices materially change, we will update this Policy and provide any notices or choices required by applicable law.
4. Weather and business location
The Today dashboard can use the city and state saved in your company profile to request current weather and forecast data. When you use location suggestions, SpeakBusiness sends the place name being typed to its geocoding provider so matching cities and regions can be returned. Saved browser address autofill remains controlled by your browser. SpeakBusiness does not request precise device GPS location for this default experience.
5. Retention
We retain account and company information for as long as needed to provide the service and for legitimate business, security, dispute-resolution and legal purposes. Different categories may have different retention periods. Company administrators should avoid storing information they no longer need and should use available account or support controls when they need data corrected or removed.
6. Privacy choices and rights
You can update many account and company details in SpeakBusiness. Depending on where you live and which privacy law applies, you may also have rights to request access, correction, deletion, portability, information about disclosures, or limits on certain processing. SpeakBusiness will honor applicable rights and may need to verify a request before acting on it. Team members should first contact the business account owner for data controlled by that business; other requests can be made through SpeakBusiness support.
7. Security
SpeakBusiness uses administrative, technical and organizational measures intended to protect information. No internet service can guarantee absolute security, so users should also protect credentials, use appropriate role permissions and avoid placing unnecessary sensitive information in the service.
8. Children
SpeakBusiness is a business service and is not directed to children. Do not use the service to intentionally collect children’s personal information unless your organization has determined that it is lawful and appropriate to do so.
9. Changes
We may update this Policy as the service, vendors or legal requirements change. Material changes will be communicated through the service or another appropriate channel.
10. Contact
Privacy questions and requests can be sent to contact@speakbusiness.org.
